Create your first Sign Power Automate Flow

The actions under the Encodian - Sign Power Automate connector allow the digital signature process to be automated.

This guide walks you through how to build your first flow.

What you will build

Your Flow will

  • Detect a new file added to a Sharepoint folder
  • Retrieve the file content ready for signing
  • Create a signing envelope using Envelope - Sign Single File
  • Send the document to a designated recipient for signature

Once your basic flow is working, you can follow the optional extension to monitor the signing status automatically.

Before you Begin

You will need

  • An active Encodian Sign trial or subscription.
  • The API key of the Sign subscription
  • A document containing a signature field, and the name of that field.
  • The names and addresses of your recipients.
  • Access to a SharePoint folder

For this tutorial we will use the documents filename (without extension) as the envelope name and send every document to the same signer. This can be customised later

The Flow

Add a 'When a file is created (properties only) trigger' and select the chosen site/library/folder you want to monitor.

Add the Sharepoint "Get file Content using path" action and use the full path from the triggers dynamic content.

Configure the top portion of the action as above.
Title: I have used the 'Name' from the trigger. This allows each envelope to be named automatically.
Sender: Enter the email address of a licensed member of your Encodian Sign workspace.
File: Select the body output from the Get File content action

And the next fields as shown.

Recipient Type: leave as Signer
Recipients First Name / Last Name / Email Address: Enter the details of the person who will sign the document.
Recipients Fields Type: A signature field must exist in the document you are intending to send for signing
Recipients Fields Field Name: In my document the signature field was called 'Signature1'.

Any fields not shown can be left blank for this tutorial.

Running the flow.

Save your flow and add a document containing the required signature field to your selected Sharepoint folder.

After a few moments, Power Automate should trigger the flow, create a signing envelope and send a signature request to your designated recipient.

Optional Extension.

The above flow can be used on it's own but some additional steps can be added to automate the monitoring of the Envelope status. See here
