Our collection and use of your personal information

We collect personal information about you when you access our websites, use our products and services, register with us, contact us, send us feedback, request support, purchase products or services, post material to our website and complete customer surveys.

  • Our hosting partners (Microsoft) and third parties we use to help provide software and services.
  • Google, for website analytics capabilities.
  • Our payment services providers (Quaderno and Stripe)
  • Providers of application support and related services (including Zendesk), to help us address any issues you may raise with the operation of the software or the services.

We will share personal information with law enforcement or other authorities if required by applicable law.

We will not share your personal information with any other third party.

Transfer of your information out of the UK and EEA

We may transfer your personal information to the following territories which are located outside the United Kingdom (UK) and European Economic Area (EEA) as follows:

  • The United States of America to process payments and manage your Encodian subscriptions.

Such countries do not have the same data protection laws as the UK and EEA. While the European Commission has not given a formal decision that the United States of America provide an adequate level of data protection similar to those which apply in the UK and EEA, any transfer of your personal information will be subject to standard EU ‘model clauses’, or a third party’s EU-US Privacy Shield certification that are designed to help safeguard your privacy rights and give you remedies in the unlikely event of a misuse of your personal information.

Cookies and other tracking technologies

Encodian websites use Google Analytics, a web analytics service provided by Google, Inc. (“Google”). Cookies are used to analyse how users use the website and collated information (including your IP address) will be transmitted to and stored by Google on their servers hosted in the United States of America. Google will use the information provided to compile usage reports and statistics for analysing website usage.

Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google.

You may refuse the use of cookies by selecting the appropriate settings on your browser. By using Encodian's websites, products and related services, you consent to the processing of data about you by Google in the manner and for the purposes set out above.

We would like to send you information about products and services, which may be of interest to you. Where we have your consent or it is in our legitimate interests to do so, we may do this by post, email, telephone, text message (SMS) or automated call.

Keeping your personal information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost, used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Your data is encrypted both in transit and at rest. Encodian services utilise 256-bit AES encryption for transient data storage encryption and SHA-256 with RSA Encryption SSL certificates for all API services. All our API services use TLS1.2 as a minimum and enforce the HTTPS protocol.

How to complain

We hope that we can resolve any query or concern you raise about our use of your information.

The General Data Protection Regulation also gives you the right to lodge a complaint with a supervisory authority, in particular in a European Economic Area state or in the United Kingdom if you work, normally live or if any alleged infringement of data protection laws occurred in the relevant state.
